Booking Conditions and General Information

Note: Booking confirmation is acceptance & understanding of our conditions

How to book your XperieNZ Limited Programs

Book through your local travel agent or send enquiry from our website. We will respond to you within 24 hours to continue the booking process. Choose your program and request your preference by quoting the relevant program name as well as your preferred commencement date.

Program Price & Validity

The prices quoted in our programs are only proposed and subject to change without any notice. The price validity of the programs change from season to season and the same will be given under the terms & conditions on each program.


New Zealand Goods and Services (GST) tax (15% at the current time) will be included in all program prices. No other taxes are included in program prices. We reserve the right to increase prices should there be a change to the GST tax rate or if there are further Government introduced taxes.

Payment & Cancellation

All bookings must be made as follows:

  • Booking must be confirmed 60 days prior to actual date of arrival
  • 25% of the price must be made at the time of booking confirmation
    • If booking is made within 60 days from date of arrival – 100% payment is required at time of confirmation
  • No booking will be accepted without payment
  • Balance 75% the price to be remitted 20 working days prior to date of arrival
  • If full payment is not received we will be forced to cancel all reservations held under your name
  • If full payment is not received as per “point d” and we do not have any firm cancellation details as per “point g”, the full booking amount will be forfeited
  • If program is cancelled prior to making full payment we will refund your booking amount less 10% of the program price for service charges
  • All applicable bank and credit card services fees are to your account either during payment or refund
  • If program is cancelled after making full payment and is 72 hours before actual date of arrival the service charge fee will be 25% of the program price
  • If program is cancelled within 48 hours of arrival date there will be no refund

Amendments to Bookings

Once a booking has been confirmed, one amendment will be allowed without incurring any additional costs. Second and subsequent amendments will incur a fee of NZ$50.00 per amendment. Amendments made after documentation has been issued will incur a fee of NZ$100.00 to cover courier costs, communication costs and re-documentation costs.


No refunds will be available on any unused services unless extenuating circumstances apply. In such instances, final decisions will be made at the discretion of the suppliers whose services are involved. Weather interruptions to itineraries/programs are beyond our control. We will do all possible to rearrange services in such event, but cannot be held financially responsible for interruption under such circumstances. We strongly recommend travel insurance cover for such eventualities.

Luxury STAY (Accommodation) (Lodges, Boutique Hotels, B&B’s and Apartments)

These types of accommodation have strict deposit, payment and cancellation terms which vary from one property to another. Upon confirmation of services, we will advise you of any deposits required to secure your booking. At the same time we will advise you of the cancellation policy for that property. Generally cancellations within 30 days of arrival incur cancellation fees.

Self Drive & Seat in Coach Programs

All our programs have clearly mentioned inclusions and exclusions. Any item not mentioned under FULL INCLUSIONS is automatically deemed to be EXCLUDED and is either an option or a service (such as airline tickets) that we do not provide.


All accommodation (STAY) included in our itineraries/programs is based on sharing a twin room with private facilities unless otherwise indicated. Single rooms are available but the higher single price must be paid. In addition, all STAY (accommodation) in our itineraries/programs are based on "Run of House" rooms, unless specifically mentioned otherwise. Hotel management makes all room assignments and XperieNZ Limited has no control over which room may be allocated. If the featured STAY (accommodation) is unavailable, XperieNZ Limited reserves the right to substitute suitable STAY (accommodation) of a similar grade and/or similar price even if the grade is not similar.

All STAY (Accommodation) is subject to availability at time of booking .If specific accommodation is unavailable suitable alternate accommodation will be arranged within the same price category if possible

As it is not always possible to offer accommodation in the same class or price category. On such occasion the next best alternative accommodation class will be provided/offered.


Seat in coach: Generally children under 12 years, who share a room and existing bedding with two adults, may travel at 50% of the normal adult cost. A child under 12 years who shares a room with two adults and requires an additional bed may travel at 67% of the normal adult cost. We reserve the right to confirm exact child costs at time of reservation.

Selfdrive: Children under 12, who share a who share a room and existing bedding with two adults, will not be subject to room costs, however any meals such as breakfast that form part of our programs will attract 50% of adult cost. Children requiring additional bed will be priced as triple share on adult triple share cost.

Sightseeing, experiences and other activity providers: Child price and age of child varies widely from these providers and the same will be given on request. We have given the child cost in each of our highly recommended options under our programs


Unless specifically mentioned, meals are not included in the program price.

Hotel (STAY) Confirmations

XperieNZ Limited reserves the right to provide alternative accommodation to the STAY listed within our website and any printed brochure that we may bring out time to time due to any unforeseen circumstances. XperieNZ Limited will endeavor to provide accommodation of a similar standard as requested, however as the choice of accommodation in remote areas is limited, we will use only the best that is available.

Rental vehicle hire

Self drive rental vehicle touring is calculated on a per day / 24 hour hire period starting from the time you collect your vehicle. An extra days hire will apply for any late drop-offs on the final day. Hire includes unlimited kilometers and daily basic insurance (unless specifically mentioned otherwise) and is subject to the rental vehicle companies terms and conditions.


Unless specifically mentioned, international or domestic airfares are not included in any tour costs.

Not Included in Program Cost

The cost of gratuities, insurance, optional sightseeing, excess baggage charges, laundry, drinks, airport taxes, meals except where indicated and items of a personal nature are not included in the tour cost.

Travel Documents

It is the responsibility of all travelers to ensure they have in their possession valid passports (with an expiry date beyond six months of their intended stay in New Zealand) and appropriate visas where applicable. All travel documents issued by XperieNZ Limited, including vouchers, itineraries and other reference material, will be delivered to you upon your arrival into New Zealand.


We strongly recommend that all guests take out appropriate travel insurance cover for all eventualities.


The client accepts that once a booking has been made with XperieNZ Limited and the required deposit paid, the client understands and accepts all terms and conditions as outlined.

XperieNZ Limited is not a carrier or hotelier, nor are we an experience and/or activity provider, nor do we own aircraft, hotels or coaches. The holidays, accommodation, transport and/or other services that form a part or the entire portion of our programs, is operated directly by the providers, with who XperieNZ Limited has agreements.

All bookings with XperieNZ Limited is subject to the terms, conditions and limitations of liability imposed by our provider partners such as transportation companies, hotel contractors , experience, sightseeing, activity and other service providers who may provide you with services and facilities at the request of XperieNZ.

XperieNZ Limited shall not in any circumstances be held liable for and will not accept responsibility or liability for the acts, omissions, defaults or failures on the part of any of our service providers such as transportation companies, hotel contractors and other service providers which are used in our programs.

XperieNZ Limited acts only as your Holiday Management Agent to introduce you to service providers. We do not accept any legal liability or damage including death, injury, delay, loss of any nature, additional expenses or inconvenience howsoever caused to property or the passenger for himself and his executors, administers and dependents expressly renounces all claim against XperieNZ Limited in respect thereof, whether the same may be due to negligence, misconduct, act of omission, default or failure on the part of XperieNZ Limited or not.

XperieNZ Limited will be not responsible or liable (for damages, refund or otherwise) for:
  • Mechanical breakdowns, government actions, weather, acts of God, strikes, compulsory quarantine or other services beyond its control.
  • The failure of the client to obtain the correct and required documentation (e.g., passports, visas, health certificates)
  • The failure of the client to follow instructions, including but not limited to check in, check out and departure places and times.
  • The delay of, loss of or damage to participants baggage or its contents regardless of whether check with any carrier, provider of accommodation or otherwise.

XperieNZ Limited reserves the right to use other non-brochure service providers of a similar or higher standard at their discretion. XperieNZ Limited reserves the right to amend, make variations to or cancel the programs, accommodation or other services and facilities advertised in this brochure. All prices are subject to alteration at the absolute discretion of the Company, and in particular but not limited to when there are tariff or fare variations for currency exchange fluctuations.

The transport companies or firms concerned are not to be held responsible for any act, omission or event during the time passengers are not on board their aircraft and/or conveyances. The airline tickets issued by the airlines concerned, when issued, shall constitute the sole contract between these airlines and the purchaser of our programs
